Privacy policy.

1. Information we handle

• Game and website accounts: usernames, account identifiers, email addresses, password verification data, characters, nation, progression and account activity. Passwords are processed to sign you in or change your password; do not send them to Gina or staff.
• Account support: recovery-email verification, expiring sign-in and recovery tokens, nation-change requests, your reasons, staff decisions and account-security records.
• Technical information: IP addresses, request and connection details, timestamps, session cookies, error logs and rate-limit records used to operate and protect the services.
• Gina questions: the text you deliberately submit, replies, limited recent conversation context, request identifiers and usage records. In-game requests also include account and character identifiers, character level and map for local processing and support.
• Discord features: Discord user, server, channel and message identifiers, display names, commands, account-link status and nation. The chat relay processes messages in the designated cross-nation channel.
• Bug reports: your description and submission time, together with relevant game account, character, level and map details, or Discord user, server and channel identifiers.

2. Why we use it

We use this information to provide accounts and gameplay, recover access, answer questions, review reports and nation-change requests, assign Discord nation roles, relay chat, publish game-event results, prevent abuse and diagnose faults. War announcements may identify participating or winning nations, brigades or characters. We do not sell personal information or use it for targeted advertising.

3. Gina and AI processing

When you ask an AI question through /ai in game or /ask in Discord, Gina sends your question, limited recent conversation context and relevant game-reference facts to OpenAI. Account credentials and the account-link database are not included in the AI request. Anything personal you type into a question can be included, so please avoid sensitive information.

Local help, privacy, reset and explicit bug-report commands do not require sending that report to OpenAI. Ordinary channel messages are not used as AI prompts. Discord AI replies are sent as private interaction responses rather than public channel posts; that does not make them invisible to Discord or the service systems processing them.

Gina requests that AI responses not be stored as retrievable OpenAI response records. This is not a guarantee of zero provider retention. OpenAI documents that API data is not used for model training by default, unless the API customer opts in, and that abuse-monitoring records may be retained for up to 30 days or longer for specified safety or legal reasons. 4. Discord linking and public chat

Linking is optional. We store the connection between your game account and Discord identity to assign the appropriate ANI or BCU role and authorize Discord-to-game chat. Link codes are single-use, expire after ten minutes and are stored as hashes.

Messages sent through in-game cross-nation chat are posted to Discord’s cross-nation channel. Eligible linked players’ messages in that Discord channel are sent into the game with their character and nation identity. These messages are visible to other players and channel members. The relay does not send that text to OpenAI. Game whispers and other game chat channels are not part of this relay.

Deleting or editing the original message does not automatically remove copies already relayed, displayed, logged or captured by others. Unlinking stops future linked-account access; it does not erase earlier public posts.

5. Service providers and access

Authorized staff can access information needed for operation, security and support. Providers process information needed to deliver their services: Discord for bot interactions and chat; OpenAI for AI answers; Resend for verification and recovery email; and our website hosting and Cloudflare services for website delivery and connection security. Download links may take you to Google Drive. Providers may process data in countries other than yours.

Their policies apply to their own services: Discord, OpenAI, Resend, Cloudflare and Google. Information may also be disclosed when legally required or necessary to investigate abuse and protect users.

6. Storage and retention

We keep account and gameplay records while needed to provide your account. Reports, support decisions, security records, usage counters and delivery receipts currently require staff review for removal; they do not all have automatic deletion schedules. Backups can retain older copies until replaced or removed. Contact staff to request a review of information associated with you.

• Gina uses recent conversation context for about 15 minutes of inactivity. Reset clears that context and pending answer pages; it does not delete reports, usage records or provider records.
• Temporary game-assistant response files are normally cleaned up after ten minutes. Completed Discord reply-cache entries are removed during cleanup after roughly 24 hours.
• Discord-to-game queued chat expires after two minutes and is removed when consumed. Delivery identifiers and status receipts may remain to prevent duplicates.
• Website account sessions and email verification/recovery tokens expire after 30 minutes. Expired records are removed during routine processing.
• Public Discord posts remain until deleted through Discord or by staff. Provider retention and operational backups are separate from these short-lived caches.

Cleanup depends on the services running. Expiry does not promise immediate erasure from every log, backup or provider system. We review deletion requests and remove data no longer needed, subject to applicable legal obligations.

7. Cookies and security

The website uses essential session cookies for registration, account sign-in and request protection. Blocking them can prevent account features from working. Infrastructure providers may also process connection information or use security cookies. We use encrypted web connections and access restrictions for sensitive operational data, but no system can guarantee complete security. Use a unique game password and keep recovery and linking codes private.

8. Your choices and privacy requests

• Clear Gina’s conversation context with /ai reset in game or /ask with the question reset in Discord. Game and Discord conversations are separate.
• Disconnect Discord from the linking section in My account. Role removal must complete before unlinking is finalized.
• Ask for access, correction or deletion of information connected to you by contacting the Aero Reborn owner or a staff member in our Discord server. If needed, ask in #global-assistance_requested for a private conversation.

Say that your request concerns privacy and identify the relevant Discord account or game character privately. We may verify ownership before acting. Never post your password, recovery link or private account details in a public channel. Unlinking, clearing context and requesting deletion are different actions. We will explain if information must be retained or if deleting it would prevent us from maintaining your game account. Depending on where you live, you may have additional privacy rights and a right to contact your local data-protection authority.

9. Policy updates

We will update this page when our practices change and revise the effective date. Material changes will also be announced through our website or Discord. This policy describes our services; it does not replace Discord’s or other providers’ terms and privacy policies.
